Responsibilities:
- Meet and greet clients and visitors.
- Create and modify documents using Microsoft Office.
- Prepare correspondence, reports, and materials for publications and presentations.
- Setup travel arrangements.
- Setup accommodation and entertainment arrangements for company visitors.
- Maintain managers’ appointment calendars.
- Setup and coordinate meetings and conferences.
- Create, transcribe, and distribute meeting agendas and minutes.
- Answer telephones professionally and handle in appropriate manner - transfer to appropriate staff member.
- Liaising with members of staff in other departments or external contacts.
- Perform general clerical duties to include but not limited to: photocopying, faxing, mailing, and filing.
- Maintain hard copy and electronic filing system.
- Sign for UPS/Fed Ex/Courier packages.
- Research, price, and purchase office furniture and supplies.
- Coordinate and support staff in assigned project-based work
- Provide office orientation for new employees.
- Setup accommodation and entertainment arrangements for company visitors.
- Other duties as assigned.
- ADDITIONAL RESPONSIBILITIES
- Assist and maintain records for company cars, phones, parking, company credit cards and petrol cards as and when required.
Requirements:
- Good English and Malay reading, writing, spoken skills required. Basic arithmetic skills required. This is normally acquired through a high school diploma or equivalent.
- Knowledge of Microsoft Office and telephone protocol. Computer literate with the ability to learn new software applications. Duties require professional verbal and written communication skills and the ability to type 50-60 wpm. This is normally acquired through one to three years of clerical experience.
- Visibility of work requires attention to detail, excellent organizational skills, and discretion with confidential information.This is normally acquired through a combination of the completion of a relevant Diploma/Degree and/or two to three years of secretarial experience.
- Work requires the ability to work efficiently in a sometimes fast-paced environment.
